Close and re-open order/position
In Einstein II VMS, orders can be closed automatically or manually.
Automatic order closure
The following logic is used for automatic order/position closure:
- A position is closed automatically the next day after its Actual End Date . Then, the associated Candidate's status becomes Offboard.
- An order is closed automatically when all its associated positions are closed (Employees become Offboard or Cancelled).
- If the "Close order if no action performed by organization user" configuration is turned ON for your Organization, and you do not take any action on the order within the configured time, it is closed automatically. The associated Employees become Rejected on this order.
- This configuration affects all order types (except for re-orders) in the In Progress status with associated Employees in the Applied, Shortlisted, Rejected, Withdarw, or custom statuses.
Close order manually
To manually close an order/re-order:
- On Order Management, select the needed order/re-order (with no Filled positions).
- In the order/re-order details sidebar, select Close Order. Hide the imageSee the image.
- In the Close Order sidebar, fill in the Reason and Closing Date fields, and then select Save. Hide the imageSee the image.
- The Closing Date may not be later than the order End Date (for re-orders, the end of the shift day.)
If the specified Closing Date is the current date or the date in the past, then the order/re-order is closed immediately and all its associated Candidates move to the Offboard status.
If the specified Closing Date is in the future, then the order/re-order will be closed when that date arrives.
You can view the Reason of Closing and the Closing Date in the closed order's details sidebar. Hide the imageSee the image.
After closing the order, you may no longer edit the Closed order or apply Candidates to it.
Close position manually
To manually close a Filled position of an order/re-order:
- On Order Management, select the needed Filled position.
- In the details sidebar of this position, select Close Position. Hide the imageSee the image.
- In the Close Position sidebar, fill in the Reason and Closing Date fields, and then select Save. Hide the imageSee the image.
- The Closing Date may not be later than the order End Date (for re-orders, the end of the shift day.)
A position with already entered timesheet records can be closed only after the last date with the timesheet record.
- The Closing Date may not be later than the order End Date (for re-orders, the end of the shift day.)
If the specified Closing Date is the current date or the date in the past, then the position is closed immediately. Its Actual End Date is updated to reflect the Closing Date, and the associated Candidate moves into the Offboard status.
If the specified Closing Date is in the future, then the position will be closed when that date arrives.
You can view the Reason of Closing and the Closing Date in the closed position's details sidebar. Hide the imageSee the image.
After closing, you may no longer edit the Closed position.
- For positions scheduled to be closed in the future, you can still make edits after re-opening them.
Re-open order/position
You may re-open the manually closed order or position for which the Closing Date has not been reached yet.
- You may not re-open orders and positions closed automatically and those that have already reached their Closing Date.
To re-open a closed order or position:
- On Order Management, select the needed closed order/position.
- In the details sidebar of this order/position, select Re-Open. Hide the imageSee the image.
The order/position re-opens immediately. The re-opened order/position can be closed again manually or automatically.
