Cancel Candidate 

For LTA / LTA - Rapid Response and Contract to Perm orders, re-orders, and extensions, you can terminate the assignment of the onboarded Candidates prematurely by canceling them. If a penalty is applicable per your vendor contract, you may apply it at this time.

  • You may not cancel a Candidate if the time has been entered into the corresponding timesheet. 

To cancel a Candidate:

  1. On Order Management, select the needed order position, re-order, or extension with the Onboard Candidate to open their details.
  2. In the status dropdown menu on the right, select CancelledHide the imageSee the image.


  3. In the Cancel Candidate dialog, from the corresponding menus, select the cancellation Reason, Details, and Penalty Criteria (if any) to be applied to the Candidate. Selecting the Custom option from the Details menu requires the Comments to be provided. Hide the imageSee the image.
    • Depending on the selected reason and penalty criteria (if applicable), additional fields with the prepopulated values (configured during the implementation) appear. This data will be used to calculate the penalty imposed on the Candidate (for example, the percentage of rate and the number of hours).


  4. Also, in the Cancel Candidate dialog, provide the Actual End DateThe last day the Candidate will work  (not applicable for re-orders).
    • Note the following:

      - The Actual End DateThe last day the Candidate will work can differ from the Cancellation DateDate the Candidate was cancelled on a position, which is always a transaction date and cannot be changed .

      - If the Actual Start DateThe first day the Candidate will begin work is in the future, then the Actual End DateThe last day the Candidate will work automatically becomes the same as the start date, and you cannot change it. In this case, the timesheets are not generated for the Candidate at all.

      - You can cancel a Candidate with already entered timesheet records for the position only after the last date with the timesheet record.
  5. Select Submit to finish the cancellation.

After cancelling a Candidate:

  • The Candidate status becomes Cancelled, and you may not change it.
  • The associated position status becomes Closed and the selected Actual End DateThe last day the Candidate will work overrides the position's end date.
  • The order status becomes Closed (if it includes only one position) or remains unchanged (if there are other Applied/Shortlisted/Custom/Withdraw/Offered/Accepted/Onboard Candidates in this order.)
  • Timesheets will no longer be generated for the Candidate starting from the Actual End DateThe last day the Candidate will work specified during cancellation.
  • If penalty criteria were set during cancellation, the penalty invoice is generated for the Canceled Candidate.
